Reports to: Director of Finance & Accounting (primary); dotted-line to CEO and COO for administrative and HR duties

Position Summary The HR & Administrative Coordinator provides hands-on human resources and administrative support across the organization. This role assists with employee onboarding, payroll and benefits administration, and HR policy coordination, while also supporting the CEO and COO with executive administrative tasks. The Coordinator ensures smooth day-to-day operations and acts as the first point of contact for employee HR inquiries.
Key Responsibilities Human Resources & Employee Support - Serve as the primary point of contact for employee HR inquiries. - Maintain and update the employee handbook and company policies. - Assist in recruitment and onboarding, including job postings, interview coordination, and new hire paperwork. - Facilitate benefit enrollments, changes, and terminations for health, dental, vision, life, disability, and retirement plans (401k and Money Purchase Plan). - Conduct benefits orientations for new hires and assist employees with benefits-related questions.
- Continual education to employees about payroll items, various benefit plans, and insurance changes. - Monitor and ensure compliance with employment laws and regulations.
Payroll & Benefits Administration - Understand the preparation and review of payroll in ADP in partnership with Finance. - Verify timecard accuracy, follow up on discrepancies, and ensure readiness for payroll processing. - Review payroll reports prior to processing and coordinate with Finance for review. - Process employee updates (address, tax, direct deposit, etc.) and ensure proper tax district changes. - Assist Finance with 401(k) contributions, year-end census submissions, year-end Money Purchase Plan contributions, and compliance reporting. - Maintain accurate benefits records and reconcile benefit invoices with employee elections.
Administrative Support - Provide administrative support to the CEO and COO, including scheduling, travel booking, expense reporting, and receipts. - Coordinate meeting logistics, including scheduling, agendas, and supporting materials. - Assist with corporate credit card administration in partnership with Finance. - Support cross-departmental administrative needs as assigned.
Work Environment - Primarily in-office with occasional flexibility. - Frequent interaction with employees, leadership, and vendors.
Skills & Qualifications - Bachelor’s degree in Human Resources, Business Administration, or related field preferred. - 2–4 years of administrative or HR support experience. - Strong understanding of payroll and benefits processes. - Excellent organizational, interpersonal, and communication skills. - Ability to handle confidential information with discretion. - Proficiency with Microsoft Office Suite and HRIS/payroll systems (ADP preferred).
Compensation - Salary range: $55,000 - $70,000/year, commensurate with experience and qualifications. - Comprehensive benefits package available.
